Office Manager

MASS is seeking an Office Manager with a knack for organization, high attention to detail, and a proactive attitude.The person in this role will support the day-to-day operations of our Boston office and ensure that team members are able to effectively do their best work every day. The ideal person for this role is resourceful problem solver, with a customer service orientation and the motivation to take on any challenge or assignment that comes their way. As a member of the Operations Team, the Office Manager will work closely with IT, People Ops, and Accounting and Finance.

Core Responsibilities:

  • Management of office space and equipment including ordering supplies, coordinating office cleaning schedule and acting as a point person between MASS and our building management team
  • Help to coordinate and order catering for office events and meetings
  • Work with Finance and Accounting to ensure that purchases are within annual budgets for culture and office supplies
  • Maintain the reception area and all incoming calls, messages and shipments 
  • Coordinate shipping and logistics between the Boston, Kigali  and Poughkeepsie offices
  • Support travel booking and accommodations for MASS staff 
  • Greet guests and visitors and lead office tours
  • Work with Finance and Accounting team to manage and submit monthly Operations expense reports
  • Maintain and update documentation of Operations systems, including vendor account information, best practices, and inventory of office supplies
  • Assist with other administrative tasks and special projects as needed

  • High School Diploma, Associates or Bachelors degree
  • 1+ years of experience preferred
